Records
Find, filter, edit and import records in list views, and see everything about one on its record page.
A record is one entry in an object — one lead, policy or patient. You work with records in two places: the object's list view and each record's own page.
List views#
Open any object from the sidebar to see its records as a table. Columns come from the object's fields.
- Filter. Build conditions with nested AND/OR groups. Filters compile to SOQL, so what you see is exactly what a query would return.
- Group. Group rows by any field, such as lead source or owner.
- Sort and page. Sort on any column and page through large objects on the server.
- Edit. Change a cell in place, or select rows and bulk-edit them. Field-level permissions decide what you may change.
- Import / Export. Load a CSV (rows that fail come back as a download you can fix and re-import) or export what you're looking at.
Use Schema on the toolbar to jump to the object's fields, and New to create a record.
The record page#
Click a record to open its page. The header carries the actions you use most:
- Ask agent — hand the record to one of your AI agents;
- Message — write to the customer on any connected channel;
- Edit — change fields.
Below the header, the tabs gather everything about the record:
| Tab | What's in it |
|---|---|
| Overview | Record-level charts, such as a customer's policies by plan type or lifetime premium |
| Activity | A timeline of changes and events |
| Related | Records that point at this one through lookups |
| Notes and Tasks | Notes and to-dos attached to the record |
| Files | Documents stored against it |
| Chats | Conversations with this person from the inbox |
The panel on the right lists every field you're allowed to see, including select fields shown as coloured badges — a KYC status of Not Started, say.
IDs and provenance#
Records carry readable IDs that you can quote on a call, such as LD-2026-000103 for a lead or CAS-2026-000020 for a claims case. Every record also remembers where it came from — a form, a chatbot, the API or an import — so you can report on sources without extra fields.
Deleting safely#
Deleting a record from the console is a soft delete: the record stops appearing, but it isn't gone for good. If you need something permanently removed, ask your organisation's owner.
Working with records by API#
Everything above has an API equivalent. See Working with records for create, update, bulk and flow examples, and Querying to find records with SOQL.
