Try “workflows”, “templates”, “SOQL” or “create a record”.

Quickstart

Set up a workspace, model your first object, connect a channel and automate a follow-up.

This guide takes you from an empty workspace to a working process: a renewal pipeline with WhatsApp reminders and follow-up tasks. It uses an insurance example, but the steps are the same for patients, properties or projects.

1. Set up your workspace#

Sign up at console.klerc.co. Then open Settings → Organization and set your localisation: currency, time zone, date format and phone-number format. Records, reports and message templates all use these settings, so it pays to get them right first.

2. Model your data#

klerc ships two system objects, Person and Company. Everything else you design yourself.

  1. Go to Settings → Objects → New object and create an object — say, Policy.
  2. Add fields. There are 28 field types, including currency, date, select, lookup and formula. For a policy you might add policy_number (text), premium (currency), expiry_date (date), insurer (lookup to an Insurers object) and an owner.
  3. Save. The object appears in the sidebar, with a table view, filters and import/export ready to use.

Already have a spreadsheet? Use Import / Export on the object's toolbar to bring in a CSV.

See Objects and fields for the full list of field types.

3. Put it on a pipeline#

A flow is a kanban board over an object. Go to Settings → Flows → New flow, pick the Policy object and add stages — for example Renewal trigger, Follow-up, Quote discussion and Plan selected.

For each stage you can require fields before a card may enter it, so a renewal can't reach Plan selected without a premium and an insurer. See Pipelines.

4. Connect a channel#

Open the Inbox and click + next to Connected accounts. Connect the channels your customers use: Gmail, Outlook or Zoho Mail; Instagram and Facebook; Slack or Microsoft Teams. WhatsApp numbers, Twilio SMS and your own website chatbots show up in the same list.

Then open Settings → Inbox and switch on auto-assignment. Choose Least busy or Round robin, set an SLA response target in minutes and, if you like, a CSAT survey on close. See The inbox.

5. Automate the first follow-up#

Go to Workflows → New workflow and build this:

  • Trigger: run on a repeating schedule, every morning.
  • Find records: policies whose expiry_date is 90 days away.
  • Actions: create a task for the policy owner, send the approved WhatsApp template Renewal reminder, and move the card to Follow-up.

Press Test to dry-run it, check each step in the run log, then turn it on. See Workflows and Templates.

6. Invite your team#

Invite people from Settings → Members, give them a role, and group them into teams. Managers see their team's records through the role hierarchy. See Roles and permissions and Teams and hierarchy.

Check your work#

Type this into the search bar at the top of the console to count your policies by insurer:

sql
SELECT insurer, COUNT(Id) FROM policy GROUP BY insurer

Or ask Molly with ⌘K: "How many policies expire in the next 90 days, by owner?"
